GENERAL JOB DESCRIPTION: 

The Program Assistant, Public Programs will help support the overall efforts of the Public Programs unit. This position provides administrative, operational, and communications support of corps fellowship programs managed by the Unit. The position reports to the Senior Program Manager and works closely with the Program Specialist with primary responsibility for the Crime Victims Justice Corps program.

RESPONSIBILITIES: 

  • Handles day to day general inquiries from fellows and host organizations by phone and email. Monitors program in-boxes and responds promptly. Tracks inquiries and responses. 
  • Organizes and maintains up to date host and fellow records in physical files and electronic information systems. 
  • Provides administrative support for meetings, conference calls and webinars including calendaring, set up, troubleshooting and notetaking. 
  • Arranges travel for staff and fellows, including transportation bookings and related logistical planning for annual in-person training events and site monitoring visits.
  • Supports project team on desk-based site monitoring tasks, including calendaring, document collection, research, and information synthesis.
  • Makes updates to program communications materials including website.
  • Assists in general drafting, proofreading and editing, including correspondence.  
  • Processes reimbursement requests and supports general programmatic financial tasks.
  • Supports the collection and consolidation of program narrative and numerical data for reporting to partners, private donors, and other relevant stakeholders.
  • Contributes to overall program efficiency and continuous improvement to ensure program effectiveness and excellent customer experience.
  • Develops ongoing professional knowledge of grants management and compliance.
  • Participates in and contributes to organization wide and Unit-wide meetings and initiatives, and undertakes other duties as assigned by Unit Leadership.
  • Other duties as assigned by Unit Leadership.

QUALIFICATIONS: 

  • Associate Degree required, Bachelor's degree perferred. 
  • 2-3 years of administrative support experience.
  • Commitment to public interest.
  • Professional, customer-service oriented mindset with an ability to exercise good judgment.
  • Strong, professional oral and written communication skills.
  • Demonstrated proficiency in Microsoft Office (Word, Excel, Power Point) and ability to use technology to manage and consolidate data.  Experience with databases (Microsoft Dynamics CRM)
  • Superior organizational skills and attention to detail, and ability to prioritize, manage multiple tasks and work independently.
  • Knowledgeable about the mission of Equal Justice Works and its current programs.
  • Upbeat and positive attitude.

SALARY AND BENEFITS:

Salary range is commensurate with experience. Comprehensive and generous benefits package commensurate with education and experience, including loan repayment assistance, full healthcare coverage, dental and 401k. Salary Range: $35,000 - $45,000
